Recruitment Administrator

We are looking for a detail-oriented and proactive Recruitment Administrator to support the talent acquisition team with administrative tasks throughout the recruitment lifecycle. This role is key to ensuring a smooth and professional candidate experience while supporting hiring managers and recruiters with efficient coordination and documentation.

Responsibilities

  • Coordinate interview scheduling between candidates, recruiters, and hiring managers across multiple time zones
  • Post job advertisements on internal and external platforms, ensuring accuracy and consistency
  • Track candidate applications, update records, and maintain data integrity in the applicant tracking system (ATS)
  • Support recruiters with candidate communications, including interview confirmations and follow-ups
  • Prepare and manage documentation such as offer letters, contracts, and reference checks
  • Assist in organizing recruitment events such as job fairs, assessment days, and internal career days
  • Ensure compliance with internal policies and local employment regulations in recruitment processes
  • Maintain and update recruitment reports, dashboards, and metrics to track progress and support decision-making
  • Handle confidential information with discretion and professionalism
  • Act as a point of contact for candidates regarding administrative aspects of the recruitment process

Requirements

  • Previous experience in recruitment administration, HR coordination, or similar administrative support role
  • Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines
  • Excellent verbal and written communication skills in English; Swedish language proficiency is a plus
  • High level of accuracy and attention to detail
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with ATS platforms (e.g., Workday, Greenhouse, Teamtailor)
  • Strong interpersonal skills and a customer-service mindset
  • Ability to work independently and as part of a collaborative HR team
  • A proactive and solution-oriented approach to problem-solving

Preferred Qualifications

  • Experience supporting high-volume recruitment activities in an international or matrix organization
  • Knowledge of GDPR and other data protection laws related to recruitment
  • Familiarity with employer branding and digital recruitment marketing tools
