Recruitment Administrator
We are looking for a detail-oriented and proactive Recruitment Administrator to support the talent acquisition team with administrative tasks throughout the recruitment lifecycle. This role is key to ensuring a smooth and professional candidate experience while supporting hiring managers and recruiters with efficient coordination and documentation.
Responsibilities
- Coordinate interview scheduling between candidates, recruiters, and hiring managers across multiple time zones
- Post job advertisements on internal and external platforms, ensuring accuracy and consistency
- Track candidate applications, update records, and maintain data integrity in the applicant tracking system (ATS)
- Support recruiters with candidate communications, including interview confirmations and follow-ups
- Prepare and manage documentation such as offer letters, contracts, and reference checks
- Assist in organizing recruitment events such as job fairs, assessment days, and internal career days
- Ensure compliance with internal policies and local employment regulations in recruitment processes
- Maintain and update recruitment reports, dashboards, and metrics to track progress and support decision-making
- Handle confidential information with discretion and professionalism
- Act as a point of contact for candidates regarding administrative aspects of the recruitment process
Requirements
- Previous experience in recruitment administration, HR coordination, or similar administrative support role
- Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines
- Excellent verbal and written communication skills in English; Swedish language proficiency is a plus
- High level of accuracy and attention to detail
- Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with ATS platforms (e.g., Workday, Greenhouse, Teamtailor)
- Strong interpersonal skills and a customer-service mindset
- Ability to work independently and as part of a collaborative HR team
- A proactive and solution-oriented approach to problem-solving
Preferred Qualifications
- Experience supporting high-volume recruitment activities in an international or matrix organization
- Knowledge of GDPR and other data protection laws related to recruitment
- Familiarity with employer branding and digital recruitment marketing tools
